    Job Description

    The Office of Economic Development and International Trade accounting team provides accounting and reporting oversight and support. We are seeking a highly motivated Accounting Technician to join the team. This position will have responsibility for handling day-to-day payable transactions including commercial card activities and provides payable related technical guidance and accounting support for various departments within the Office. On-site work is required as dictated by the needs of the job with the potential for remote work 2-3 days per week once an individual is fully trained and competent in the job.

    This position will primarily support AP activities (70%), commercial card activities (30%), and to a lesser extent other administrative duties assigned to the accounting unit; with daily and monthly duties to include coordinate vendor setup, travel, vendor payment processing, and monitoring and process Salesforce accounting requests. The individual in this position will also respond to department and external inquiries, support users of Salesforce regarding payable inquiries.
     

    Essential Duties and Responsibilities:

    • This position will process vendor payments, travel reimbursement payments as well as commercial card for OEDIT following all federal and state's fiscal rules and guidelines

    • Work within Salesforce system to review and generate travel authorizations and reimbursements for travelers associated with the department

    • The position will frequently coordinate/collect confidential information (W9 data, personal data) for new vendor/traveler set-up while maintaining the confidentiality and security of this data.

    • Responsible for applying all State, Federal, and Cabinet guidelines for all State business-related travel

    • Responsible for obtaining all documentation required to support reimbursement according to State and Federal Fiscal and Travel Policies

    • Monitor the entire workflow of all reimbursement requests related to travel payments, vendor payments and commercial card expenses to ensure sufficient supporting documents and appropriate approvals and signatures are obtained, in a timely manner

    • Accrue expenses as required by following applicable state and federal fiscal policy

    • Ensure that OEDIT stays up to date regarding all travel policies and updates internal processes as needed to maintain compliance with applicable rules and regulations

    • Processes transactions related to State warrants including lost warrant affidavits, warrant reissues, cancellations

    • Provide oversight of purchasing of goods and services as the Commercial Credit Card Program administrator for the Department

    • Maintain commercial card program, enroll new employees, add/update cardholders accounts, cancel cards as appropriate, and work with employees on all cardholder issues

    • Support auditing all Commercial Card expenses in adherence to the C-Card policies, resolve problem expense reports to ensure timely auditing and processing

    • Handle the delinquency management to administer card suspensions, cancellations, and violations in adherence to Travel and C-Card program policies

    • Responsible for the month-end close for Commercial Card and travel expenses, month-end journals and resolve account reconciliations in CORE if any

    • Provide communication and training on processes and systems with internal stakeholders

    • Creates and maintains procedures related to the position

    • Serve as backup to the other Accounts Payable Accountants on all duties

    • Other duties as assigned

    Required Knowledge/Skills/Abilities:

    • Outstanding customer service and detail oriented

    • Knowledge of Generally Accepted Accounting Principles in the United States (GAAP)

    • Effective computer skills in using Microsoft Office and Google applications

    • Ability to effectively communicate procedures and policies to staff both verbally and in a written format

    • Demonstrate the ability to work independently, take ownership of projects, and effectively prioritize multiple tasks to meet deadlines

    • Ability to work and interact well with people of diverse backgrounds and personalities

     

    Education:

    Option 1: A Bachelor's degree in Accounting

    Option 2: An Associate's degree in Accounting and four (2) years of technical/professional experience in accounting

    Option 3: Related occupational experience will substitute for the degree requirement on a year-for-year basis. An equivalent combination of education and proven experience in comparable fields will be considered.

    Supplemental Information

     

    Salary Range: $50,000 - $58,000 Annually
