    Position: Administrative Assistant                                           Full-time

    Position Overview:
    This position is responsible for providing support to the Vice President of External Relations (60%) and Vice President and Chief Financial Officer (40%), as well as office administrative tasks of answering phones, processing mail, and greeting visitors.
     
    Job Responsibilities:
    • Provides support to the Vice President of External Relations (VPR) and Vice President and Chief Financial Officer (CFO), organizing emails, assisting with correspondence and written communication, editing and proofreading
    • Provides research for the CFO and VPR
    • Reviews monthly status of revenue, projected vs. actual, to help ensure targets are met
    • Coordinates travel schedule, books flights/hotels, obtains visas and handles logistical arrangements. Compiles documents for travel-related meetings
    • Assists with and writes correspondence, as well as prepares other documents for donors and colleagues of the VPR and CFO, editing and proofreading as necessary
    • Prepares the expense reports of the CFO and VPR
    • Keeps donor database updated with actions of the CFO and VPR and ensures all donor related deadlines are met
    • Provides administrative support to the board of director committees that are working with the CFO and VPR
    • Manages and schedules internal and external meetings; works closely with other administrative and support staff in many cases
    • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
    • Assist with the RTD EcoPass program
    • Provide general administrative support (i.e. distributing mail, monitoring general email addresses, answering phones, signing for packages, greeting visitors, etc.)
    • Maintains confidentiality in all matters
    • Other tasks as assigned, including acting as a personal assistant to the CFO and VPR
     
    Qualifications:
    • A minimum of two years of professional work experience in an administration/executive support role
    • Strong writing, proofing, and editing skills
    • Strong skills in analyzing financial information
    • Strong database management skills
    • Able to work as a part of a team and handle requests from multiple parties, often on tight timelines
    • Proficiency with MS Office Suite; with expertise in Outlook, Word, PowerPoint and Excel and database management systems (RE preferred)
    • Strong organization and time management skills and attention to detail
    • Experience organizing meetings, arranging international travel, and managing budgets
    • Excellent communication and people skills; in person, over the phone and via email
    • A motivated self-starter who looks for ways to contribute to the organization’s mission and is happy to assist in whatever way possible
    • Commitment and understanding of the Greengrants mission
    • An enthusiastic and upbeat personality and an eagerness to learn new skills
    • Bachelor’s degree preferred
    Compensation:
    Salary will be commensurate with experience. Benefit package includes health, dental and vision insurance, 403b retirement plan, and flex plan.
